Privacy, in plain language.

A short version before the long one: we collect only what we need to run the Services. We don't train AI on your data — and neither do our vendors. You own your Customer Data, you can delete it, and you always have control over what Zyntro does on your behalf. What follows is the formal version, written by lawyers, because the law asks us to.

Section 01

Introduction

Zyntro Holdings, Inc. ("Zyntro", "we", "us", "our") is committed to protecting the privacy of individuals who access or use our websites, platform, applications, AI systems, voice systems, and related services ("Services").

This Privacy Policy explains:

  • what data we collect,
  • how we use it,
  • how it is shared,
  • how it is protected,
  • your rights and choices,
  • and how our AI and automation systems process information.

By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy and agree to the practices described herein.

Unless otherwise defined, all capitalized terms have the same meaning as in our Terms of Use, which together with this Privacy Policy form a binding agreement between you and Zyntro.

Definitions

Personal Data

Information relating to an identified or identifiable individual.

Customer Data

Any data, content, files, or information uploaded, submitted, or transmitted by customers, including CRM data, contacts, leads, form submissions, call recordings, customer lists, website content, brand information, ware information, segmentation inputs, and any data processed within Zyntro's applications.

Usage Data

Technical or analytics data automatically collected through system logs, cookies, beacons, or similar technologies.

AI Processing

Any processing performed by LLMs, AI model providers, voice agents, or automated workflows to generate outputs, segment data, classify inputs, or perform tasks.

Data Controller

The entity that determines the purposes and means of processing Personal Data.

For Customer Data entered into the Zyntro platform, the customer is the Data Controller.

Data Processor

The entity that processes data on behalf of the Data Controller.

For Customer Data, Zyntro acts as the Data Processor.

Categories of data collected

3.1  Personal Data you provide

We may collect Personal Data when you:

  • create an account,
  • subscribe to a paid plan,
  • contact support,
  • complete forms,
  • provide billing information,
  • initiate workflows or imports.

This includes: name, email address, phone number, company name, billing address, login credentials, payment method tokens (via Stripe / PayPal), optional profile details.

We do not store raw credit card numbers.

3.2  Customer Data you upload

Zyntro processes Customer Data that you provide or import, including:

  • leads, contacts, customers, and CRM fields
  • segmentation and audience attributes
  • form submissions
  • emails, SMS messages, call scripts
  • call recordings, call metadata, and transcriptions (Phona)
  • brand and ware data
  • uploaded files (images, documents, PDFs, JSON files)
  • content created via the website builder
  • information about your products or services
  • marketing preferences and messaging settings

You are responsible for the lawful collection of Customer Data and must ensure proper consent.

3.3  AI processing data

When you use Zyntro AI features, we may process:

  • prompts
  • instructions
  • brand facts
  • ware manifests
  • customer content
  • segmentation inputs
  • CRM fields
  • workflow triggers
  • call scripts
  • contextual metadata

Certain data may be shared with third-party AI model providers only as needed to generate the outputs you request.

We never share:

  • user passwords
  • payment details
  • sensitive personal data (unless explicitly provided by you)

Zyntro vendors do not train their models on your data.

3.4  Usage data

We may collect:

  • IP address
  • browser type/version
  • device type
  • operating system
  • session identifiers
  • page activity
  • access timestamps
  • crash reports
  • performance metrics
  • app interaction logs

3.5  Cookies & tracking

We use:

  • session cookies
  • authentication cookies
  • security cookies
  • analytics cookies
  • preference cookies

You may disable cookies, but the platform may not function fully.

How we use your data

We use data to:

  • operate, provide, and maintain the Services
  • authenticate users
  • deliver AI content and outputs
  • run Segmentation Intelligence (SI) and Programmed Intelligence (PI) automations
  • process calls, SMS, emails, and workflows
  • train internal systems (NOT external model training)
  • provide customer support
  • detect and prevent abuse
  • comply with laws
  • secure our systems
  • bill for Services
  • improve product performance
  • test experimental features
  • personalize your user experience
  • send SMS and text messages including appointment reminders, event notifications, and service-related communications to users who have opted in.

Under GDPR, the lawful bases include:

  • performance of a contract
  • legitimate interest
  • consent (where applicable)
  • compliance with legal obligations

SMS & text messaging

Zyntro may send text messages (SMS) to individuals who have provided their phone number and opted in to receive messages through our website forms, scheduling pages, webinar registration pages, or by initiating a text message conversation with us.

Messages may include: appointment confirmations and reminders, webinar and event reminders, responses to inquiries, and informational messages about services relevant to your stated preferences.

Message frequency varies based on your interactions and preferences. Message and data rates may apply depending on your mobile carrier and plan.

You may opt out of text messages at any time by replying STOP to any message. After opting out, you will receive a one-time confirmation message and no further texts will be sent. You may also reply HELP for assistance or contact us at support@zyntrohq.com.

We do not sell, rent, or share your phone number or SMS opt-in data with third parties for their marketing purposes. Phone numbers and related data are used solely for the purposes described in this Privacy Policy.

By opting in to SMS communications, you confirm that you are the owner or authorized user of the mobile number provided and that you consent to receiving text messages from Zyntro at that number.

AI processing and automated decision-making

Zyntro uses artificial intelligence to:

  • generate content
  • classify inputs
  • segment users
  • detect signals
  • trigger workflows
  • analyze customer behavior
  • personalize communications
  • power Phona voice calls
  • structure CRM data
  • support website building

Important:

Zyntro does not make legally binding decisions or high-risk decisions without human oversight.

You are responsible for reviewing all AI outputs before use.

Section 06

Sharing data with third-party AI and service providers

We share limited data only when necessary to operate the Services.

Third-party processors include:

  • AI models (OpenAI, Anthropic, Google Gemini)
  • Voice AI (ElevenLabs)
  • Telecom providers (Twilio, carriers)
  • Email delivery (Postmark)
  • Cloud hosting (AWS, Cloudflare, Google Cloud)
  • Analytics (Google Analytics)
  • Payment processors (Stripe, PayPal)

We may share:

  • prompts
  • brand data
  • contextual metadata
  • workflow inputs
  • call scripts
  • audio for transcription
  • SMS/email message content

We never share:

  • payment card details
  • passwords
  • unnecessary personal identifiers

External APIs

The Service interacts with Google APIs in order to provide certain features (viz. the ability to share and upload content on YouTube). Any such use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

The Service interacts with Facebook and Instagram APIs (Meta APIs) in order to provide certain features (viz. the ability to share and publish content on Facebook and Instagram). Any such use of the Meta APIs will adhere to the relevant Data Use Policy as per Meta's Platform Terms.

The Service interacts with LinkedIn, X (formerly Twitter), Telegram and Medium APIs ('Other Social Platforms') in order to provide certain features (viz. the ability to share and publish content to an authorized account). Any such use of Other Social Platforms through their respective APIs will adhere to the relevant Privacy Policies and Data Handling Policies of the Other Social Platforms.

Your data may be stored or processed in:

  • Other regions depending on our cloud vendors

We use appropriate safeguards, including:

  • Standard Contractual Clauses (SCCs)
  • encrypted data transit and storage
  • vendor due diligence

No system is 100% secure.

Retention of data

We retain Personal Data only as long as necessary for:

  • resolving disputes,
  • enforcing agreements.

Customer Data may be deleted when:

  • you request deletion,
  • your account is terminated,
  • retention obligations expire.

Deletion is permanent and irreversible.

Zyntro does not sell personal data.

Zyntro is not for children under 13.

We do not knowingly collect data from minors.

Data deletion requests

Trial accounts may be auto-deleted after expiration.

Paid users may delete their accounts via the platform.

Deletion is final.
